This document will provide troubleshooting tips for issues reconciling bank accounts. There are several factors that can lead to a bank account not reconciling properly and we will cover those items in detail in the following sections.
Prior Reconciled Items Appear on Current Reconciliation
This will happen when a previous bank reconciliation was not given enough time to close completely. When you reconcile, you need to make sure and wait for the bank reconciliation report to download completely before leaving the bank reconciliation screen.
To fix it, you will need to undo and redo your prior bank reconciliation.
- Go to Bank Admin > Feeds and Reconciliation.
- Select the bank account you want to reconcile from the Bank Account drop-down list.
- Click the Play button to load the reconciliation period
- Expand Previous Periods, click the PDF icon first to obtain the copy as a backup.
- Click the trashcan icon to the right of the prior period to reopen it.NOTE: If you reopen just one prior period, the existing marks on entries will stay put. However, if you reopen several periods at once, the marks will be cleared, but only for the very last period you opened.
Redo the bank reconciliation, please see Performing the Bank Reconciliation if needed.
Click Close on this screen, but do not leave the bank reconciliation until the report has downloaded.
Statement Reconciliation has a Difference
The most likely causes are a missing transaction/s in the system or a missed item/s being checked off from the bank statement.
To fix it:
- Confirm your opening and closing dates and balances match the statement.
- Match all cleared checks and deposits.
- Compare every transaction on your statement to your system. Mark cleared items in your system, and add and clear any missing transactions.
Journal Reconciliation has a Difference
There are several reasons why the journal difference may not zero out when the statement balance does.
To fix it:
- Make sure that the Statement reconciliation has zero difference.
- Run the Cash Validate Utility and check if that fixed the issue, if the issue persists, please proceed with the next steps.
- Please go through the First Bank Reconciliation Checklist if this is your first bank reconciliation.
- Compare the prior bank reconciliation report to the current one and look for:
- Outstanding entries that is no longer on the current report.
- Back-dated entries that are not in the prior report.
- Check and enter any bank errors that will be corrected by the bank.
- If your journal balance is still not zero, please submit a ticket with the details of the issue and all relevant reports. You should expect an update to the ticket within 48 hours.
Trust Listing has a Difference
If you have reconciled a trust account, and when looking at the trust bank reconciliation report you notice that the Trust Listing and the Trust Journal do not balance.
To fix it:
- Run the File Validate Utility.
- If this does not resolve the issue, then please submit a ticket with the details of the issue and all relevant reports. You should expect an update to the ticket within 48 hours.
Bank Reconciliation Don'ts
There are also a few things that you may want to try to fix the bank reconciliation yourself. The following items should not be attempted as they will not fix/affect your bank reconciliation.
- Do not make a manual journal entry to a bank account to attempt to fix a bank rec issue. This will not affect the bank reconciliation at all and will cause issues trying to reconcile your bank journal to your bank general ledger.
- Do not back date operating/trust transactions.
- Do not attempt to “cheat” the system when closing a file. There is a specific order to close a file in Soluno. If you try to close a file out before the bank reconciliation for transactions associated to that file have been completed, it will cause the bank journal to be unreconcilable.
If you need to submit a ticket, please first ensure that all of these previous areas have been looked at. If there is an area that was missed, then the ticket will be referred back to you to continue self troubleshooting, ultimately delaying the help that you get. Please also ensure that all relevant details are entered and all necessary reports are uploaded. Disclosing information such as back dated entries that were created or changes to GL opening balances will help in speeding up the resolution or recommendations.
