Editing and Deleting Data Entries

There are times you need to edit or delete data entries like time, fees, expense, bank transactions, accounts payable and invoices in Legal Accounting.




Editing and Deleting Time or Fee Entries

  1. Run the Client Ledger or Time Listing report to locate the entry.
  2. Click the trashcan icon to delete or drill down to edit or delete.
    If the trashcan and drilldown are both missing, and unable to save changes, it's likely due to one of the following reasons:
  • The file is currently in the prebill stage (Billing > Review Charges/Release), if so, undo the draft/prebill first.
  • The entry is part of an invoice; you need to delete the invoice first.
  • Time/Fee entries allowed on or after is set. Go to Admin > Firm > Settings > Features > and ensure the date is set before the date of the entry.
  • There's a security restriction is place - consult with your Admin.
    NOTE:  If you see the drill-down icon but the trashcan icon is missing, it means the file is currently under billing review (prebill or draft status). You can still click the drill-down icon to edit and save the entry even though you can't delete it.


Please check these conditions to determine why the entry cannot be edited or deleted.




Editing or Deleting Expense Entries

  1. Run the Client Ledger or Client Cost Listing report to locate the entry.
  2. Click the trashcan icon to delete or drill down to edit or delete.
    If the trashcan and drilldown are both missing, and unable to save changes, it's likely due to one of the following reasons:
  • It's a converted entry. You can only make an offsetting (negative) entry.
  • The file is currently in the prebill stage (Billing > Review Charges/Release), if so, undo the draft/prebill first.
  • The entry is part of an invoice; you need to delete the invoice first.
  • Accounting entries allowed on or after is set. Go to Admin > Firm > Settings > Features > and ensure the date is set before the date of the entry.
  • There's a security restriction is place - consult with your Admin.
    NOTE:  If you see the drill-down icon but the trashcan icon is missing, it means the file is currently under billing review (prebill or draft status). You can still click the drill-down icon to edit and save the entry even though you can't delete it.

  1. Run the Operating Bank Journal or Client Ledger if file related to locate the entry.
  2. Click the trashcan icon to delete or drill down to edit or delete.
    If the trashcan and drilldown are both missing, and unable to save changes, it's likely due to one of the following reasons:
    • It's a converted entry.  You can only make an offsetting (negative) entry.

    • It's a File Opening Balance.
    • The file is currently in the prebill stage (Billing > Review Charges/Release).

    • For receipt, it's part of a Deposit Slip.

    • For cheque, it's still under Batch Cheque Print.

    • For transfers made at the time of billing, the invoice has to be deleted first.

    • The entry is part of an invoice.

    • The GL period covering the entry is closed.

    • The entry has been reconciled.

    • Entry was voided/NSF. Void entry must be deleted first.

    • The Trust Safety feature has been previewed or finalized.

    • Accounting Restriction date is set. Go to Admin > Firm > Settings > Features > and ensure Accounting entries allowed on or after is set before the date of the payment or receipt.

    • There's a security restriction is place - consult with your Admin.
      NOTE:  If you see the drill-down icon but the trashcan icon is missing on a disbursement (or cheque attached to a file), it means the file is currently under billing review (prebill or draft status). You can still click the drill-down icon to edit and save the entry even though you can't delete it.

  1. Run the Trust Bank Journal or Client Ledger if file related to locate the entry.
  2. Click the trashcan icon to delete or drill down to edit or delete.
    If the trashcan or drilldown is missing, and unable to save changes, it's likely due to one of the following reasons:
    • It's a converted entry.  You can only make an offsetting (negative) entry.

    • It's a File Opening Balance.

    • The file is currently in the prebill stage (Billing > Review Charges/Release).

    • For receipt, it's part of a Deposit Slip.

    • For cheque, it's still under Batch Cheque Print.

Editing or Deleting Payable Entries

  1. Run the Payable Listing to locate the entry.
  2. Click the trashcan icon to delete or drill down to edit or delete.

    If the trashcan and drilldown are both missing, and unable to save changes, it's likely due to one of the following reasons:
    • It's a converted entry.  You can only make an offsetting (negative) entry.

    • The entry is billed on the client's invoice.

    • It's paid. Voided payment to payable is also considered as payment. Delete the void and original entry.

    • The GL period covering the payment is closed.

    • The Trust Safety feature has been previewed or finalized.

    • Accounting Restriction date is set. Go to Admin > Firm > Settings > Features > and ensure Accounting entries allowed on or after is set before the date of the payment or receipt.

    • There's a security restriction is place - consult with your Admin.
