Creating Memorized and Recurring Transactions

Memorized transactions give the user the ability to have Actionstep Legal Accounting

remember specific transactions. These transactions may occur regularly or have many 

lines of allocations related to various general ledger accounts. 


Transactions from the following functions can be memorized:


  • Operating In
  • Operating Out
  • Trust In
  • Trust Out
  • Payables

Creating a Memorized Transaction

Transactions can only be memorized at the time of saving an entry. Follow these steps to create a memorized transaction:


  1. Enter the details for the transaction in the data entry tab
    NOTE:  The transaction being memorized must be associated either an existing or newly created contact. Ensure that a contact number is entered or create a new contact by clicking the “+” to add a new contact. By clicking this, the new contact popup will appear. 
  2.  Once the data entry form is filled in, the user can “Remember this transaction” by 

     selecting an option from the drop-down menu, at the bottom of the data entry tab.

    • For new transactions, being memorized, the options are:

      1. Don't remember: No transaction is memorized
      2. Remember for future use (only for me): Adds the memorized transaction to the list for recall. Only the user that created the transaction will be able to view and use this entry.
      3. Remember for future use (everyone): Adds the memorized transaction to the list for recall. All users with security access to the function where it was created will be able to access and recall the entry.
  3. Set or adjust our Cheque Mgt option and click Save


The transaction is now memorized


Recalling a Memorized Transaction


To access a previously saved list of memorized transactions follow these steps:


  1. Select the Memorized button in the data entry tab to view the Select a Memorized Transaction popup
  2. Enter the contact to which the memorized transaction was saved, and click the Run button
  3. One or more transactions will appear. Select the entry to recall by clicking the checkmark box.
  4. Click Select to return to and populate the data entry tab.


Changing a Memorized Transaction


Once a memorized transaction has been recalled, changes to the original memorized transaction can be done. The user can overwrite the original saved transaction, with these changes, as needed. Follow these steps to change a memorized transaction:


  1. Recall a memorized transaction 
  2. Make any necessary changes to the recalled transaction
  3. An additional option appears in the "Remember this transaction" dropdown, Replace existing memorized transaction. Select this option to update the transaction for future use
  4. Click Save to both process the transaction as well as save the changes to the memorized transaction.


Deleting a Memorized Transaction


If a memorized transaction is no longer needed, it can be deleted from the contact record under the transaction type it was created. For example, if you created it under Operating Out, you would recall and delete the transaction from the Operating Out tab. Follow these steps:


  1. Recall the memorized transaction
  2. Click on the trashcan icon to delete the memorized transaction from the list
