Creating Memorized and Recurring Transactions

In this article:


Memorized transactions allow users to save frequently used accounting entries so they can be quickly reused in the future. 


This is especially useful for transactions that:

  • Occur regularly

  • Contain multiple allocation lines

  • Use the same contacts or general ledger accounts repeatedly


Saved transactions can also be scheduled as recurring entries, allowing them to be generated automatically at defined intervals.


Supported Transaction Types

Transactions created from the following functions can be memorized:

  • Operating In

  • Operating Out

  • Trust In

  • Trust Out

  • Payables (can be memorized but recurring schedules are not currently supported)




Creating a Memorized or Recurring Transaction

Transactions can only be memorized when they are first saved.

  1. Go to Add Entry.

  2. Select the transaction type (for example Operating Out).

  3. Select the Contact the transaction relates to.

  4. Enter the transaction details and allocations.

NOTE:  The transaction being memorized must be associated to a saved contact.
  1. At the bottom of the entry window, locate Remember this transaction.

  2. Select one of the following options:
    Don't remember - The transaction will not be saved for reuse.
    Remember for future use (only for me) - The memorized transaction will only be visible to the user who created it.
    Remember for future use (everyone) - All users with access to the transaction type can recall and use it.

  1. (Optional) To create a recurring transaction:

    • Click Schedule

    • Configure the Recurring Transaction Settings

    • Click OK

  2. Set or adjust the Cheque Management if required.

  3. Click Save.


The transaction is now memorized and available for reuse.



Using a Memorized Transaction

To reuse a previously saved transaction:

  1. Go to Add Entry.

  2. Select the same transaction type used when the transaction was memorized (for example Operating Out).

  3. Click Memorized. The Select a Memorized Transaction window opens.

  4. Enter the Contact associated with the memorized transaction.

  5. Click the Play button to display available memorized transactions.

  6. Select the desired transaction.

  7. Click Select.


The system will populate the transaction screen with the memorized entry details.



Editing a Memorized Transaction

A memorized transaction can be updated if changes are needed.

  1. Open the memorized transaction.

  2. Modify the transaction details as required.

  3. At the bottom of the window, set Remember this transaction to Replace existing memorized transaction

  4. Click Save.


The original memorized transaction will be replaced with the updated version.



Deleting a Memorized Transaction

If a memorized transaction is no longer needed, it can be removed.

  1. Open the memorized transaction.

  2. Click the Trash Can icon.

  3. Confirm the deletion.


The memorized transaction will be removed from the list.
