How to make a Top Up bill or Trust Replenishment bill, a zero invoice to ask for a retainer.
Instructions: Before changing a Billing Group Template, please go to the Billing Settings section of the file and make note of the “Billing Group”.
Updating the Billing Group Template with the target and minimum amount:
To update the Billing Group template, go to ADMIN -> BILLING -> BILLING GROUP tab.
Use the Pencil Icon to edit the Billing Group Template.
Scroll down to the “Retainer Arrangement” section (near the bottom area of the template).
There are two options here for the Retainer:
***Important note: Retainer Target and Retainer Minimum must be set to the same amount, always.
Option 1. Enter the same amount in area labeled “Retainer Target” and “Retainer Minimum”.
That will set the amount for all files using that Billing Group.
Press the “Save” button.
Option 2: Instead of putting in an amount, turn on the button, “Set in individual files”.
This allows the amount to be set in individual files using File Manager and does not affect all the other files using that Billing Group.
Then, in file manager, add the amount in the “Billing Settings” section, “Billings Group Overrides” sub-section.
Scroll down to the “Retainer Arrangement” and add the same amounts.
Press “Save” to save the file settings.
***End of Update the Billings Group section.
Create the Invoice:
BILLING -> REQUEST INVOICE, put in the file number and send it to REVIEW CHARGES.
The new line item will show “Retainer Amount” and the “Please Pay” will show the existing charges, previous balance and the new Retainer Amount required.
***Important Note: this amount will continue to be added to the current charges until the retainer amount/or trust amount has enough funds in the account. To turn off this “ASK” just put a zero in the “Retainer Arrangements” area in the Billing Group or using File Manager for the file.
