Legal Accounting's split billing functionality allows a firm the ability to automatically split the billed amount on an invoice between several contacts. It will create individual Invoices, addressed to each contact, outlining a percentage of the total billed amount.
Setting up Split Billing
- In Legal Accounting, click Contacts then Contact Manager.
- Locate the primary contact/client who currently has the file assigned to them.
- Go to the Group Members section.
- In the Lookup field, search for the contact you wish to add to the group.
- Click Add Contact. Once adding contacts to the group is done, you can setup the split percentage next. NOTE: Adding members will not replace the primary contact of the file. If the contact does not exist in the system yet, you must first create them first, see LINK Adding a Contact
- Click Save to confirm the addition of the contact to the billing group.
- Go to File Manager.
- Locate the file you want to split billing.
- Go to Split/Advanced Billing section, you should see all the contacts that can split the bill.
- Set the split percentage for the other contacts. Changing the % for additional contacts will automatically adjust the % for the main contact.
- Click Save to finalize the split billing configuration.NOTE: Electronic Billing for files on split bill is currently not supported.
Generating the Split Bill
- Ensure that split billing has been setup as instructed above, Setting up Split Billing
- Request the bill as usual (see LINK Creating an Invoice).
- Review the generated invoices. You can also find the individual invoices in the Client Ledger or Billing Journal report.
NOTE: Trust Transfer at the time of billing is not supported. If you wish to pay the bill from trust (to operating), you need to finalize the bill first and do the transfer after since there are multiple contacts and/or trust balances involved.
TIP: There are times when a file that was previously on a split billing can cause duplicate invoices with incorrect contact names. To fix this, go to File Manager > Other and temporarily change the primary contact. Then, change it back to the correct one.
Receiving Payment for a Split Bill
- As an Operating In, see LINK Creating Operating In Transactions
- As a Trust Transfer, see LINK Transferring of Funds
NOTE: If you try to receive a payment for a file and contact that is no longer in split, you will have to temporarily add the contact back to the group first, receive the payment then remove the contact from the group.
