Deleting an Invoice or Bill

If, for some reason, you need to delete an invoice that has already been created, Legal Accounting makes it possible.




Deleting or Undoing a Finalized Invoice and Adjustment

  1. Go to Reports > Contact > Ledger.
  2. Click the arrow down and select Client Ledger.
  3. Search the file of the invoice or adjustment you want to delete.
  4. Click the trashcan icon next to the invoice (INV) or adjustment (ADJ).




Deleting or Undoing Multiple Invoices (Mass Undo)

  1. Go to Reports > Receivables > Receivables.
  2. Click the arrow down and select Billings Journal.
  3. Set the common parameters among invoices you want to delete. (i.e. Date)
  4. Click the trashcan icon next to each invoices you want to delete.




Deleting or Undoing Multiple Adjustments (Mass Undo)

  1. Go to Reports > Receivables > Adjustment.
  2. Click the arrow down and select Adjustment Listing.
  3. Set the common parameters among adjustments you want to delete. (i.e. Date)
  4. Click the trashcan icon next to each adjustments you want to delete.




Missing the Trashcan Icon

If you don't see the trash can icon to delete an invoice, it's probably because of one of these reasons:

  • Old Invoice: The invoice came from a different system, and those invoices can't be deleted.
  • Payments Applied: Payments have already been made on the invoice. You'll need to remove those payments first before deleting the invoice.
  • Currently on Draft: The invoice is still in the "Review Charges" or "Release" stage (it's a pre-bill). Undo the draft.
  • Later Bill Created: Another invoice has been created after this one.
  • Closed Accounting Periods: The time period (for accounting, GST/HST, or PST) that the invoice falls into is closed.
  • Trust Safety Feature: The Trust Safety feature has been used on the account.
  • Accounting Entry Restriction: The system settings prevent accounting entries on or after the invoice date.
NOTE:  If a trust transfer was created at the time of billing, the transfer would also need to be deleted or it will go to operating retainer.




Deleting or Undoing a Pre-bill (Draft Invoice):

  1. Go to Billing >Review Charges or Release Invoice tab.
  2. Put a checkmark next to each file (prebill) you want to remove.
  3. In the Action dropdown, select Undo Invoice.
  4. Click Process. This will delete the selected pre-bills.
