The LawPay integration allows firms using Legal Accounting to accept credit card payments from clients, include secure payment links on invoices, automatically deposit payments into Operating or Trust accounts and record payments directly inside Legal Accounting.
Initial Setup
- Set Up Bank Accounts with LawPay. Typical setup includes:
- Operating Account – for normal payments
- Trust Account– for trust depositsNOTE: Client payments are deposited into these accounts. LawPay service fees are withdrawn from the Operating Account, even for Trust payments.
- Configure LawPay in Legal Accounting
- Go to Admin Settings > Firm > Service Configuration > Credit Cards
- Select LawPay as the merchant provider.
- Open the Merchant Setup section.
- Select Initialize.
- Log in using your LawPay credentials., this will display the available LawPay accounts.
- Select the matching Legal Accounting bank accounts for:
- Operating
- TrustNOTE: If merchant settings or security permissions change, you may need to reinitialize LawPay.
- Click Save.
- Configure File Groups. File Groups determine which clients can pay by credit card and which accounts are used.
- Go to Admin Settings > Contact/Casefile > File Groups
- Click the Edit (pencil icon) to the file group you wish to enable credit card payments.
- Locate the Credit Card Payments section.
- Select:
- Provider: LawPay
- Operating Account
- Trust Account
- Click Save.
- Repeat for each File Group that should accept credit card payments.NOTES:
File Groups that should not accept credit cards should leave this section blank.
If the Credit Card section is missing, log out and back into Legal Accounting.
Contacts may have multiple emails, but only one billing email is used for LawPay.
- Submit a ticket to configure the bill display and add the link.
How Clients Pay an Invoice
When clients receive an invoice:
- They click the Pay by Credit Card link.
- They select which invoice(s) to pay.
- They enter:
- Billing address
- Credit card information
- They click Pay Now.NOTE: Payments are processed immediately and typically deposited nightly.
How to Record a LawPay Payment in Legal Accounting
Go to Operating In or Trust In
Click Credit Card Receipts button to show Select Processor Charge window.
Select the transaction.
Click Select. Legal Accounting will populate the Money In screen automatically.
Verify the information and click Save.
NOTES:
Deposits must be processed one at a time.
If a deposit is deleted in Legal Accounting, the refund must be processed in LawPay.
Refunds will appear as negative entries in the Operating In screen.
Creating a New Payment Link (Manual)
If a client needs a new payment link:
- Go to Contacts > Contact Manager > Billing/File Defaults
- Click Get Updated Credit Card Link.
- Copy the Portal URL.
- Send the link to the client.
Additional Notes
Payment links may appear on draft invoices, but they only work after the invoice is finalized.
Links appear even if the invoice delivery method is set to Print.
LawPay will not show AR balances from before the integration was configured.
Troubleshooting LawPay
LawPay Setup Issues
Checklist:
Configure LawPay in Administrator Settings.
Log out and log back into Legal Accounting after setup.
Configure File Groups with the correct LawPay accounts.
Ensure the contact has a billing email.
Payment Link Not Working
Possible causes:
Invoice is still Draft
Payment link has expired
LawPay was not configured for the File Group
Solution:
Generate a new link via Contact Manager → Billing/File → Get Updated Credit Card Link
