Understanding the GST/HST Report

The GST/HST Journal Report is an important tool to help your law firm manage its GST/HST (or HST) payments and filings. It tracks all your GST/HST activity, including amounts paid, billed out, and any adjustments made. The totals in this report directly match the numbers you'll need for your official GST/HST Return Form. It shows your balances for the Period, Prior Unreported, and Total, which reflect activity for your chosen report dates. This report is designed to help your firm easily track your GST/HST obligations and make sure you're complying with tax regulations.




Accessing the GST/HST Report

  1. Go to Reports > Other > GST/HST tab.
  2. Set the Start and End Period.
    NOTE:  If you have previously closed a GST/HST period, the Start of Period will be greyed out and will default to the next period.
  3. Select how you want to prepare the report with the following options:
    • Prepare preview of GST/HST Report only - This option will only generate the report to for review.
    • Prepare GST/HST Report and close period - This option will generate the report and close the period at the same time.
  4. Click Submit. 
  5. Click Close on the Processing pop-up message.
  6. Click the Notification Bell icon to the right to get the report once generated.
    NOTE:  Unlike most other reports, the GST/HST report isn't automatically downloaded after you request it. You can click the bell icon to download it, or click on a different tab, then go back to the GST/HST tab. You should then see the report available for download under "Last preview report on." 



Entries Shown in the GST/HST Report

  • Disb: All GST/HST eligible purchases that you make, goes to box 102.
  • (Paid Out) TaxGST/HST that the firm paid on Disb, goes to box 106.
    NOTE:  GST/HST remittances also show in paid out tax column, this is specified by a star sign (*).
  • Inv: Invoice number
  • Billed: Shows the billed amount when the invoice was finalized, even when a file was set to tax exempt, goes to box 101.
  • (Billed Out) Tax: GST/HST that the firm billed to clients for that particular invoice, goes to box 103.
  • Adj Tax: Write ups and reversed provisional write offs of GST/HST, goes to box 104.
  • Adj ITC: Write downs and provisional write offs of GST/HST, goes to box 107.
    NOTE:  Only GST/HST adjustments will show on the GST/HST report, adjusted fees or costs will not reflect on this report.



GST/HST Journal Summary


  • Previous Balance: Indicates the GST/HST balance from the prior period
  • Previous Payments/Refunds: Indicates all payments and refunds applied to the prior period.
  • Balance Forward: Remaining balance forward

Paid by Instalments110Amount of GST/HST you remit and applied to the current report period. It also shows any GST/HST refunds recorded in the system as a positive amount.

Balance113Difference of box 109 and 112. Balance from back dated entries on closed periods.

This should match the GST/HST Payable or Tax Federal GL Account (2400)

Accessing Previous Closed GST/HST Periods

There are times when you need to print or redo a prior and close GST/HST period, please follow the steps below:

  1. Go to Reports > Other > GST/HST tab.
  2. Click to expand the Previous Periods.
  3. Select the action you need to do:
    • Click the PDF icon to print the report.
    • Click the trashcan icon to delete or reopen the period.
      NOTE:  Deleting or reopening a closed GST/HST period is not something we recommend. If there is a need for it, please consult with your accountant.
