This article explains how Legal Accounting counts licenses and how to check your firm's usage. Use it when you want to know how many licenses your firm has, whether adding a user will cost more, what "part-time" and "full-time" mean on the usage screen, whether a new hire can use a departed employee's license, or where to find your serial number.
How licenses Are Counted
Since February 1, 2026, Legal Accounting uses 1 user = 1 license, counted each calendar month.
- licenses aren't assigned to named people.
- Each different user who logs in during the month needs a license.
- The count resets on the 1st of each month.
- Users who never log in, such as timekeepers whose time others enter, don't need a license.
- Actionstep compares licenses with actual logins each month and invoices any extra users.
Checking Your licenses and Usage (Admin)
To do this:
- Click your initials (top right).
- Click Firm License Information. If you work in more than one firm, it's under License and switch books.
- Find your license number (serial number). It starts with CA or US, and appears on your invoices as the organization key.
- Click Usage-Current.
- Expand User Logon Details to see who has logged in this month.
- Click Usage-History to see firm totals for past months.
Notes:
• Part-time and Full-time come from the
old
shared-license model, but they still control sign-in. Each license gives
your
firm 15 part-time logins a month. A user who logs in on 15 different days
becomes
full time. Their logins keep being counted after that, so the usage screen
can
show more than 15 for one user, but they still use only one license. When
the
part-time logins run out, part-time users see "No licenses are available"
until
the 1st. If you have a license for everyone who logs in, you won't run out.
• Disabling a user doesn't give back a license they've already used this
month.
If you're replacing someone who logged in this month, add the new user on
the
1st of next month or buy another license.
• When you add a user, you may see "If you continue, you will have more users
than licenses…". This is a warning only. If the new user won't log in, or
you
have unused licenses this month, click Continue.
