An admin can add a user or timekeeper, set their password, and give them the right access and rates. Use this article when you're setting up a new employee, adding a lawyer whose time others enter, giving a new user a password, or you see a warning that you'll have more users than licenses.
Adding a User
To do this:
- Click the Tools (wrench) icon to open Administrator Settings.
- Go to Users > Users.
- Click Add.
- Enter the user's details, including their initials and email address. Their email address becomes their username.
- If you see "If you continue, you will have more users than licenses…", click Continue if the user will never log in, or if your firm still has unused licenses this month.
- If the user needs admin access, toggle Administrator to on.
- Click Next.
- Enter a temporary password.
- Toggle Force password change on next login to on.
- Click Next.
- If the user dockets time or fees, whether or not they enter it themselves, toggle Records Time to on.
- Click Next.
- Click Save.
Note: Users who never log in don't use a license. Each person who logs in needs one. If more people log in than your firm has licenses, the monthly usage review bills the extra licenses.
Caution: New users start in the Power User security group, with full access to the database, including banking and financial information. To restrict their access, add them to another group, then remove them from Power User.
Adding the User to a Security Group
To do this:
- Go to Users > Groups.
- Click the edit pencil for the group.
- In the Available Users list, click the user's name.
- Click the arrow to move them to the Users in Group list.
- Click Submit.
Removing the User from the Power User Group
To do this:
- Go to Users > Groups.
- Click the edit pencil for the Power User group.
- In the Users in Group list, click the user's name.
- Click the arrow to move them back to the Available Users list.
- Click Submit.
Adding the User to a Rate Group
To do this:
- Go to Rates/Codes > Rate Groups.
- Click the edit pencil for the rate group.
- Click Add.
- Select the Fee Earner, Effective Date, and Amount.
- Click OK.
- Click Save.
Troubleshooting a New User
- The user can't log in. Make sure they use cloud.soluno.legal and the exact email address on their profile.
- You get a 400 error when you change the user's email address. Contact Actionstep Support.
- The user is an articling or summer student, or your outside bookkeeper or accountant. After you add the user, open a support ticket asking for them to be set as non-billable so they don't need a paid license. For students, include their start and end dates.
Note: Each firm's books can have one non-billable outside bookkeeper or accountant.
