Disabling a User Who Has Left the Firm (Admin)

Users can't be deleted in Legal Accounting, which keeps their past work intact. Instead, you disable them so they can't log in. Use this article when someone leaves the firm, you want to free up their license for a new hire, or you need to bill a departed lawyer's time.

Disabling a User

To do this:

  1. Go to Administrator Settings > Users > Users.
  2. Click the pen icon next to the user.
  3. Click Security.
  4. Toggle Disable user to on.
  5. Click Save.

To re-enable a user, toggle Disable user to off and click Save.

Notes:
• Licenses aren't assigned to particular people. If the departing user has already logged in this month, they've used a license for the whole month. Add their replacement on the 1st of next month, or buy another license. To check usage, go to Firm License Information > Usage-Current > User Logon Details.
• A disabled or departed timekeeper's entries can still be amended and billed. You don't need to re-enable them.
• Disabled timekeepers still appear on Dashboards > Time Overview. This is expected.

Caution: Users who work in several firms' books, such as bookkeepers and consultants, are disabled in all of those books when you disable them in one. Before you disable them, check they no longer need access to any of those books.
