In Legal Accounting, permissions are set for user groups, not for individual users. Admin users have full access. Power Users have access to everything except admin settings. Use this article when you want to stop a user from deleting invoices, hide financials from staff, limit which files a user can see, or a user in the right group still can't see something.
Changing a Group's Permissions
To do this:
- Go to Administrator Settings > Users > Security.
- Expand a section, such as Time Entry, Invoicing/Statements, Financials, or Reporting.
- Select the group.
- Toggle Assign Permissions for Group to on.
- Set each option.
- Click Save.
Note: If a user belongs to several groups, which setting
wins
depends on the area:
• Time entry: the least restrictive setting wins.
• Financials: the most restrictive setting wins. If any
of the
user's groups restricts financials, the user can't access them.
• Dashboards, bank accounts, Reporting, and Hide Menu: the
most
restrictive setting wins.
• Contacts and case files: Always Restrict
wins over Always Allow.
Tip: To hide menu items, use Security > Hide Menu. To keep users out of particular files, set up an ethical wall. Ethical walls don't apply to Admin users or Power Users.
Setting Bank Account Access
To do this:
- Go to Administrator Settings > Firm > Bank Accounts.
- Double-click the bank account.
- Expand Security.
- Move the group to Access Groups.
- Click Access Details.
- Set the money in and money out options.
- Click OK.
- Click Save.
- Repeat these steps for each bank account.
A User in Several Groups Can't See Entries or Client Ledger Detail
Possible cause: The user belongs to groups with conflicting settings, or the users who enter time and expenses are in different groups. For example, the user can run a Client Ledger report, but the detailed entries are blocked.
To fix this:
- Go to Administrator Settings > Users > Users.
- Check every group the user is a member of.
- Create a shared group, and add all the users who need to see each other's time and expense entries.
- Give the shared group only the Time Entry and Expense Entry access it needs.
- Click Save.
- Have the user log out and back in.
Caution: Don't give the shared group Financials or banking access.
Note: If you delete the shared group, the restriction comes back. Adding the user to Power User also works, but gives them much wider access.
Contacting Actionstep Support
