A reopened file can come back with "1" added to its number (for example, **250271**), underlined in red. Until the "*1" is removed, you may not be able to post cheques or deposits, or create a pre-bill or invoice. This is a known issue. Use this article to restore the original file number so you can keep working on the file.
Before You Begin
- You need access to Change File Number. If it's missing, ask your admin.
- If your firm uses NetDocuments, complete Part 1 first.
- If your firm is connected to Actionstep Practice Management, disconnect that link first, or update the number in Practice Management afterward. If NetDocuments is connected, link it only in Practice Management, not in both products.
Part 1: Disabling NetDocuments
Skip this part if your firm doesn't use NetDocuments.
To disable NetDocuments:
- Go to Administrator Settings > Firm > Service Configuration > NetDocuments.
- Click Disable.
Part 2: Removing the *1 Suffix
Changing the number straight back to the original doesn't work, so you need to change it twice.
To do this:
- Go to Contacts > File Manager.
- Open the file that ends in *1.
- Expand Other.
- Click Change File Number.
- Enter a unique temporary number with no asterisk, for example 25027new.
- Click OK.
- Click Save. The page may look frozen. Wait for it to finish.
- Click Change File Number again.
- Enter the original number, for example 25027.
- Click OK.
- Click Save.
- If the old number still appears, sign out and sign back in.
- If you disabled NetDocuments, reconnect it. Actionstep Support can give you a reconnection code.
Note: Linked files (for example, -p and -v files) only need fixing if they also show *1.
Contacting Actionstep Support
If the number still won't change after a few minutes and a cache reset (click your initials > Firm License Information > Reset Browser Cache), contact Actionstep Support. Include your license number, the file number (with *1), and what you need to post. Mark the request as urgent if a cheque or invoice is waiting.
Note: If your firm has locked file-number changes, an admin must approve the change first.
