When a client has money in trust, you can use it to pay their invoices. You can apply trust when you finalize an invoice in Review Charges, or pay a finalized invoice later with a transfer. Paying from trust is useful when a client's outstanding A/R should come out of their trust balance, when you applied less trust than the invoice total, or when one deposit is partly for an invoice and partly a retainer on a new file.
Paying a Finalized Invoice from Trust
To do this:
- Go to Add Entry > Transfer.
- Enter the Date.
- Enter the Amount.
- Set From Account to the trust account.
- Set To Account to the operating account.
- In Transfer From, choose the File Number. The Client Number is filled in automatically.
- Click Select Invoices.
- Select the invoice or invoices to pay.
- In Cheque Mgt, choose how the transfer is handled. Choose Release/Print Cheque if you need a receipt or Form 9A.
- Enter a memo, for example "Balance of invoice 1234".
- Click Save.
Notes:
• You can't change the trust amount on a finalized invoice. Either pay the rest
with a transfer, or delete the invoice and bill it again.
• Trust applied in Review Charges only covers
the current invoice. To pay an older balance, pay it with a transfer first, and
then bill.
Splitting One Trust Deposit Between an Invoice and a New File
To do this:
- Go to Add Entry > Trust In.
- Select the payer.
- In the allocation grid, add one row for each file with its amount.
- Click Save.
- Pay the invoice with a transfer, as described in Paying a Finalized Invoice from Trust.
