Sometimes two reports, or the same report run twice, show totals that don't agree. Most mismatches come from report parameters or from entries that affect one ledger but not another. Use this article when a WIP summary lists old clients at 0.00, a prebill is much lower than the Time report, a report gives a different number than it did before, or GST/HST revenue doesn't match the P&L.
WIP Report Lists Files with a 0.00 Balance
Possible cause: The report includes files that have no unbilled charges.
To fix this:
- Open the WIP report parameters.
- In Unbilled charges greater than or equal to, enter 0.01.
- Run the report again.
Files with no unbilled charges no longer appear.
Prebill Total Is Lower Than the Time Report
Possible causes: Held charges, write-offs, non-billable or flat-fee entries, billing filters, or a different date range.
To fix this:
- Check the prebill for held charges, write-offs, non-billable entries, and flat-fee entries.
- Check that both reports use the same billing filters and date range.
- Set the Time report to Unbilled.
- Run the Time report again and compare the totals.
Same Report Shows a Different Result
Possible causes: Different parameters between runs, or journal entries to control accounts, which change the GL but not the sub-ledgers.
To fix this:
- Run both reports with identical dates, views, and toggles.
- Check for journal entries to control accounts.
- At the end of the day, have an admin go to Admin Settings > Firm > Settings > File.
- Click Reload Cache.
- Click File Validate.
Note: Run Reload Cache and File Validate at the end of the day, when other users are out of Legal Accounting.
GST/HST Revenue Differs from the P&L
This is expected. The GST/HST report shows only the tax portion of write-offs.
- To see fee write-offs, go to Reports > Receivables > Adjustment.
