A receipt or cheque dated before your firm's Legal Accounting start-up date cannot be deleted directly. The delete option is unavailable because the entry falls outside the period the system will accept changes in.
This article explains the workaround: re-date the entry into the current period, then delete it.
Before you begin:
- Confirm the entry genuinely needs removing rather than correcting. Re-dating and deleting leaves no trace of the original date.
Caution: This changes the date of a financial transaction before deleting it. Check your firm's record-keeping obligations, and your law society's requirements for trust transactions, before using this method.
Note: If the entry is cleared on a Bank Reconciliation or Billed on the file you will not be able to change the date on the entry, without undoing which function has already locked it.
To remove a receipt:
- Find the entry by using the Trust or Operating Bank Journal. (For client expense cheques you can also find the entry in the client ledger.
- Open the transaction and click the date field.
- Change the Date to today's date.
- Click Save. The entry now sits in the current period.
- Open the entry again and delete it. The delete option is now available.
