Setting Up Activity Code Shortcuts for a Lawyer

An activity code shortcut allows you to type an activity code in any description, memo, explanation, or other field that has free form text. That text will then expand to a phrase you would like to insert in the field. For example, entering "oc" might insert the text "opposing counsel".

Activity code shortcuts are controlled by each individual user, so each lawyer must have the setting enabled on their own profile.

 


Enabling Text Expansion for a User

Expansion is a personal preference, not a firm setting.

 

To enable it:

  1. Click your profile icon in the top-right corner of the page.
  2. Click the Preferences tab.
  3. Toggle the following options on:
    • Include activity code in entry description
    • Auto expand activity codes
  4. Click Save to save your changes.

 


Creating the Activity Codes (Admin)

The codes themselves are created centrally by an administrator.

 

To create the codes:

  1. In Legal Accounting, go to Admin > Rates/Codes > Activity Codes.
  2. Click Add (at the bottom of the list). A page appears where you can set up the code.

    Note: You can also select an existing code to edit it.

  3. In the Name field, enter the shortened code you want to type (e.g., off for office supplies)
  4. In the Description field, enter the full text (e.g., Office supplies).
  5. Specify where you want the code to appear (which types of entries ):
    • Use for time entries
    • Use for expense entries
  6. Click Save to save the new activity code.

Tip: To keep a code from expanding as you type, hold the Shift key and press the spacebar after entering the code.

 


Turning Off Auto-Expanding Activity Codes 

If typing a short word produces an unexpected phrase (e.g., typing "corp" inserts a full activity code description which you may not want), you can suppress this auto-expansion. You can do this for a single entry or disable the feature entirely entirely.

Note: Auto-expansion is a personal preference set on your own profile, not a firm-wide setting. This means you can make disable it for your own profile without affecting other users.

 

To suppress expansion for a single entry:

  1. Type the text you want to keep.
  2. Hold Shift and press the spacebar. The text is left as typed.

 

To turn off the setting permanently:

  1. Go to the top right-hand corner of the page and click your initials.
  2. Choose Manage profile from the menu that appears.
  3. Click the Preferences tab.
  4. Toggle Auto expand activity codes off.
  5. Click Save to save your changes.
